Locates and attaches appropriate file to correspondence to be answered by employer. Takes dictation in shorthand or by machine and transcribes notes on typewriter or computer, or transcribes from voice recordings. Composes and types routine correspondence. Files correspondence and other records. Answers telephone and give information to callers or routes call to appropriate official and places outgoing calls. Schedules appointments for employer. Greets visitors, ascertains nature of business, and conducts visitors to employer or appropriate person. Compiles and types statistical reports. Takes minutes of staff meetings. Makes copies of correspondence or other printed matter. Prepares outgoing mail. Assists in the preparation/coding of invoices for payment. Assists in new hire documentation for new associates. Schedules appointments for residents. Coordinates and forwards paperwork to various national office departments as needed. Conducts tours of the community and orientates all new residents. Provides weekend coverage, works rotating hours and assists departments when short staffed. Maintains associate personnel and resident files. Completes reports and newsletters, as required by company policy and/or federal or state regulations. Orders office supplies and forms for associates and residents. Answers pull cord emergencies and answers fire panel as needed. Assists in the recruitment, orientation and retention of qualified staff. Promotes positive associate relations and resolves grievances. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. One (1) year performing secretarial and administrative duties preferred. High school diploma or general education degree (GED); Basic typing skills essential along with basic knowledge of PC's and word processing software, preferably in a Microsoft Windows environment. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or associates of organization. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
