GENERAL ACCOUNTABILITIES The Administrative Assistant’s primary focus will be to provide assistance to the management team with an emphasis on the Director level and secondarily the Manager level. This will include general day-to-day support as well as assisting with special projects, research, and resolving problems. In a broader sense, this position will support the entire staff. The Administrative Assistant will be responsible for managing such things as supplies and office equipment on behalf of the general team. This position will also schedule staff meetings and other team functions. SPECIFIC RESPONSIBILITIES 55% Agreement Database Ownership and responsibility for the maintenances of the database, consisting of Tracking of existing agreements Processing request for new agreements Producing reports for field management Maintenance of file room Communicate contractual payment obligation to accounts payable and payroll 15% Management Administrative Support Prioritizes calls and correspondence and briefs the management team on items needing immediate and / or personal attention. Provides complex and varied administrative support. Assists with research and analysis of budget, time and attendance or other information regarding the team. Assists on short-term "special projects" as assigned by the management team. Serves as department contact and resource for clients. Regularly works with or provides confidential information, exercises discretion concerning its dissemination. Produces a wide variety of departmental reports, literature, etc., Researches, organizes, and compiles information for specialized reports. Coordinates program or project activities. 20% Staff Administrative Support Serves as back-up to HR Compliance Specialist Background and drug screening Unemployment claims Wage verification Posting compliance (poster guard, etc.) Maintains office and kitchenette supplies as well as fax machines, copiers and network printers positioned for general use within the team Provides back-up support to specific administrative positions within the team as assigned by the management team. Participates on Shared Responsibility Teams to achieve broader organizational goals and improve the cost effectiveness of the team as needed. 10% Customer Support Ensures that customers receive an adequate level of service or help with their questions and concerns. Interacts with customers in response to inquiries about products or services and to handle and document complaints. Documents complaints, questions and inquiries as received by phone or mail and/or website from consumers or associates. Gathers pertinent information and documentation needed to support the claim. Notifies sources and involved parties and prepares written communications as needed to obtain and convey information. In addition to tracking calls and concerns/ files and follow-up documentation will be processed by this individual. Coordinates the negative customer satisfaction surveys with J.D. Powers and Market Management. Requirements EDUCATIONAL/Experience/MINIMUM Requirements Education: An Associates or Bachelor degree is a plus Experience: 2 years of human resources support and customer support experience in a related field 1 year of legal experience a plus Knowledge, Skills & Abilities: Knowledge of general office procedures and advanced word processing, basic proofreading, editing and data entry, and proficiency with spreadsheets Knowledge of general office procedures Strong organizational skills Strong focus on customer service Ability to work effectively as a team member Strong communication skills, in person and over the phone Ability to perform multiple tasks simultaneously, knows when to ask for direction and when to involvement Management team Ability to meet deadlines Attention to detail Shares knowledge with associates, may provide supervision to student or temporary workers Proficient technical skills including word processing, editing, spreadsheets and / or databases Ability to learn independently and to translate knowledge into sound office practices Effective communicator Ability to work effectively as a team member Professional demeanor both over the phone and in person Ability to prioritize and perform multiple tasks simultaneously Ability to delegate work to other team members when appropriate Ability to take initiative to ensure deadlines are met Ability to seek guidance with needed, but also is able to work independently Ability to provide training and direction to other team members as requires Excellent organizational skills Strong focus on customer service Work Conditions Work Environment When considering the work environment associated with this job, the following factors may apply: Work indoors during all seasons and weather conditions Limited amount of local and/or multiple location traveling required Standard business dress is required.
