The American Committee for the Weizmann Institute of Science, a not-for-profit organization based in New York City, seeks a Program Assistant at its National office near Grand Central Station. We provide resources and support for our regional offices, which are located in a number of major cities across the country. Our mission is to raise funds for the Weizmann Institute of Science, a top-rated scientific research institution located in Israel. The Program Assistant will work for the Donor Relations & National Programs department in a position that requires strong administrative skills along with some experience in events planning. Reports to VP of department, but also works for the Director of VIP Visits, and with a Program Coordinator.
Applicant must have excellent writing skills and be prepared to draft and proofread departmental correspondence. Examples are meeting agendas, program notices, and minutes of meetings.
Database experience (proficiency with Raiser's Edgeis a plus) is necessary. Tasks include maintenance of event and donor records using Raiser's Edge and department files.
Assists the Vice President and the Director of VIP Visits in the planning and implementation of special events, with on-site coordination necessary (overtime is paid).
Assists in the management of the donor recognition process. Maintains and distributes monthly calendar of events and list of visiting scientists; also compiles itineraries for regional missions, individual donors, and visiting scientists.
Deals with vendors and tracks revenue and expenses. Creates lists and reports for supervisor.
Performs general administrative tasks such as preparing expense reports, maintaining schedules, and assisting with mailings.
Strong customer service orientation needed as well as the ability to work cooperatively with staff throughout the organization.
Skills needed: Proficiency in Microsoft Word, Excel, and Access (or Raiser's Edge or another database). Mail-merge experience. Strong writing skills. Ability to multi-task and pay attention to details and deadlines. Advanced time management skills. Excellent communication skills. Experience in donor development a strong plus.
